Full terms and conditions are outlined below for wedding cakes. Throughout the terms “we” “us” and “our” refer to Country Cake Lass. By paying a booking fee it will be deemed the terms and conditions have been read, understood, and accepted before ordering. Prices
All prices are priced accordingly to your exact design and size of your cake and are non- negotiable.
Upon completion of the consultation a quote will be emailed to you. Quotes are valid for 7 days from the date sent. A booking fee must be paid to secure the price and date in the diary.
Booking Fee
Booking fees are non- refundable and non- transferable.
Booking fees secure your date and price.
Booking fees are £100 for wedding cakes.
If any booking fee is not paid within the 7 days, then we reserve the right to cancel any previous arrangements. Your date and price will not be held, and a new quotation would be required.
Please ensure you email confirmation of the booking fee transfer to prompt acknowledgement of the payment. This guarantees your cake and date.
If the booking is less than 4 weeks’ notice, the full cost of the order will be required at the time of booking.
Payment
Payment can be made via BACS. Unfortunately, it is not possible to pay by credit/ debit card or in instalments.
Cheques are not accepted.
Final payment for wedding cakes is required no later than 28 days before the collection/ delivery date. It is your responsibility to ensure this payment is made, as a reminder invoice is not always issued.
Once this payment has been made, it is non-refundable and non-transferable in the event of a cancellation.
If the final payment is not received 28 days before the event date, then your order will be cancelled. The booking fee is non-refundable and non-transferable, and your booking may no longer be able to be accommodated.
Consultation
Consultations are by appointment only and via video call. As part of the process, you will have the opportunity to receive a tasting box containing four flavours. These can be selected from our menu.
Additional tasting boxes are available, these would be charged at the time of ordering.
Tasting boxes are sent out 4 times a year, we will schedule your taster box onto the next available date. If you require sooner than the next scheduled date a surcharge will apply.
If there are any specific allergens or dietary requirements, please let us know at the time of booking your consultation.
Any designs or sketches of your cake will remain our property until the booking fee has been paid.
Cake Details
After your consultation, a booking form will be sent to you. Please ensure you check all details are correct, especially spelling of names, delivery address, time, contact details, cake tier sizes, flavour choices, allergen information. Please advise us of any changes as soon as possible.
Once you have confirmed the booking form is correct, the cake will be made according to the booking form. It is imperative the form is checked carefully. Any errors not picked up on the form prior to the cake being made will not be considered to be our error.
Third Party Decorations
Please give us at least one months’ notice if a bespoke item is required for your order.
If items from additional suppliers are required for your cake e.g., Special order cake stands, toppers, decorations etc. we cannot be held responsible for any delays on these items.
If you choose to order the items yourself, please check details with us first to ensure it will be suitable for your cake, especially sizing. We advise ordering as soon as possible, please check any lead times are in line with your event.
If you order the items yourself, we cannot be held responsible for any errors in size, shape or design as the ordering has not been done by ourselves.
We reserve the right not to use anything supplied by a third party if we deem it unsuitable.
Flowers
Fresh flowers are not calculated in your cake price. You are required to make all the necessary arrangements with your florist. We are happy to work with your florist but cannot be held responsible for any problems with your fresh flowers.
We would advise to order a few additional flowers to ensure we have a good selection to work with. We can only work with what your florist supplies so please ensure they order flowers especially for the cake, so the same high standard is throughout all the florals for your event.
You will be responsible for ensuring no toxic flowers are used on the cake. This is to be discussed with your florist along with ensuring all flowers are prepared correctly to ensure no contamination to the cake. Any flowers not prepared correctly will not be used on your cake.
If the florist does not meet us at the agreed time at the venue, we cannot guarantee being able to wait for them to arrive. If we can wait, the additional time will be charged.
If we are not able to wait, the florist will need to add the flowers to the cake. We cannot be held responsible in this instance if the cake does not match the design in our vision, the flowers are not administered in a food safe way, or for any damage to the cake caused by any flowers or decorations implemented by the florist or yourselves.
To ensure the flowers freshness throughout the day, cakes are set up as late as feasibly possible. If photographs with the cake are required, cutting the cake earlier than scheduled may be necessary to ensure the flowers freshness for the photographs.
Alterations to your order
We aim to accommodate any changes to your cake design up to 4 weeks before your event.
We understand last minute changes may occur. We will do our best to accommodate these changes, but this is not always possible due to time and design constraints.
Any accepted changes may incur additional charges to cover the cost of changes and additional time resulting in the final balance being amended. This will be discussed with you at the time of making the changes. We reserve the right to increase a quote price if a variation of the work is requested.
We will send a new booking form to confirm the alterations, this needs to be check carefully and you will need to make us aware if anything is incorrect.
Collection
If you have ordered a tiered cake, we prefer to personally deliver and set the cake up at the venue. If this is not possible or you would prefer to collect the cake yourself, you can do so at a pre-arranged time. Please ensure you arrive on time for collections as we may not be available if you are late.
Any cakes over 3 tiers will not be available for collection.
We will box your cake for ready for transportation. During transportation is when cakes, especially tiered cakes are most at risk. We will provide you with care and handling instructions. We will require a signature to confirm you have received your order in perfect condition, as specified and we have provided the care instructions. Once the cake has left us, we are not responsible for any damage that may occur.
We advise the cake be placed on a level surface, ideally the passenger footwell of the car. The cake will need to be stored at room temperature and out of direct sunlight until taken to the venue. At the venue we would advise the same conditions.
Checking your insurance covers cake damage is highly recommended.
Delivery
We recommend our wedding cakes are delivered and set up by ourselves at the venue. We will deliver at a pre-arranged time discussed during the consultation. We will advise the venue of our arrival time in advance.
Delivery is charged at £25 for any delivery within 10 miles of TD4 6AS.
Other journeys are charged at £1 per additional mile for the return journey. Mileage is calculated using google maps from TD4 6AS to the postcode of the venue provided.
In addition to the mileage charge any total journey time over 1 hour will incur an additional charge of £15 per hour/ part hour. E.g., A 3 hour round trip would incur and additional £30 time charge.
It is your responsibility to ensure the correct information of the event is provided, event time, delivery address etc. this will be detailed on your booking form and should be checked carefully.
Delivery charges include set up and stacking of the cake at the venue except where fresh flowers are being used. Additional charges apply for fresh flowers. The price is dependent on the quantity of flowers being added to the cake but starts at £25. We prefer to add flowers to the cake ourselves to ensure they are added in the correct manor and match the design of your cake rather than your florist do it. All this will be discussed with you during your consultation.
It is your responsibility to provide the set-up details and cake location at the venue. Please consult with your venue to ensure all arrangements are made prior to our arrival. To avoid any additional delays and incur charges (£15 p/hr/ part hr) we require the cake table, linen, cake stand, knife etc to be set up prior to our arrival. We cannot be held responsible for the location of the cake at the venue. Please liaise with your venue to ensure the location is stable, level, and strong enough to hold the cake. We advise the cake is not placed next to any heat source, in a sunny window or conservatory and is kept away from high traffic areas to avoid being damaged by passing guests.
We reserve the right to change the location of the cake at the venue if we feel it is unsuitable and there is a risk of damage to the cake.
If we feel the cake stand that you or the venue have provided is not suitable to support the weight of the cake, we reserve the right not to use it.
Once the cake has been delivered to the chosen venue, we require someone responsible to check that they are happy with the cake. We will take photographs of the cake as proof of delivery and set up. We cannot be held responsible for any damage to the cake once we have left the premises.
We will endeavour to deliver your cake in perfect condition prior to the start of your event. However, we cannot be held liable for circumstances beyond our control causing delays or issues completing delivery, e.g., Traffic conditions, severe weather, public unrest etc. Should this be a possibility we may recommend delivering the cake earlier than originally planned e.g., 1 day in advance, dependant on drop off time. We advise you have adequate wedding insurance to cover such eventualities.
If the delivery time needs to be changed, please let us know as soon as possible so we can try and accommodate. Due to other orders, the change in delivery time may not be possible.
If a collection is booked and a late request for delivery is required, we will try to accommodate where possible, however this cannot be guaranteed as prior commitments will take priority. If delivery is possible, delivery charge will be calculated and added to the final balance.
Hot Weather
In the case of extreme hot weather, we may have to make alternative decisions with the design of your cake if the original design has a risk of being compromised. Venues without air conditioning or marquees etc have a very high inside temperature and pose a threat to the stability of your cake and risk the cake collapsing or melting. This will be discussed with you a week before the wedding, only in exceptional circumstances so we can make a decision together. If any design changes incur additional costs, we would advise you of this before any decision is made. Should you continue with the original design upon completion of delivery at the venue we will require you to sign to confirm proceeding with the design knowing the risk due to hot weather.
Non-edible items
Cakes may contain inedible items, internally and externally, e.g., Support dowels, cake cards, crystals, ribbon, flower pick, figure supports etc. A full list of all items will be provided upon collection/ delivery. It is the customer/ venues responsibility to ensure these are removed when cutting the cake.
We cannot be held responsible for any non-edible items not removed prior to the cake being served as we will not be cutting the cake personally.
Shelf Life & Storage
All cakes are baked to ensure optimum freshness for your event. Unlike supermarket cakes, which contain additives and preservatives for an extended shelf life, our cakes are made entirely of natural ingredients. We recommend eating within 48 hours of the event for the cake to be enjoyed at its best.
You should not refrigerate sugar paste cakes as condensation will form on the surface of the icing.
Staling of the flour in cake is also accelerated by refrigeration.
If you wish to freeze your cake, food hygiene recommendations are for a maximum of 3 months. We cannot guarantee the quality of the cake once frozen.
We always aim to leave venues as tidy as possible. We remove all cake boxes and packaging. Should you require any boxes to be kept for safe transport home after an event please let us know in advance.
Allergens & Dietary Requirements
Unless stated otherwise, all cakes contain; gluten, eggs, butter and are made in an environment that handles; dairy, soya, nuts, gluten, and alcohol. At this time, we do not make gluten free, dairy free or vegan layer cakes. However, we could make an alternative bake in addition to your cake to accommodate your guests, this can be discussed during your consultation – due to the nature of the product we cannot guarantee that these cakes will not contain trace amounts of these ingredients.
During the consultation it is the customers responsibility to make us aware of any allergies and special dietary requirements that need to be accommodated.
Full allergen information will be provided with the cake.
We recommend anyone with a severe nut, gluten or dairy intolerance does not eat our cakes.
Country Cake Lass accepts no liability for customers suffering allergic reactions from eating our cakes.
Cake Design Commissions Similar to Another Design
During your consultation we are happy for you to provide photo inspiration for your cake design. As these are not our original designs, we would prefer not to directly copy them as we would need to seek permission from the original creator, and this is not always guaranteed. Instead, we would design a cake unique to you using the photos as our basis.
Cancellations/ Refunds
Refunds are at the discretion of Country Cake Lass. No refund will be given due to a change of mind.
In the event of a cancellation the booking fee is non-refundable and non-transferable.
From the date of booking until 28 days before the event, cancellations will forfeit the booking fee.
Any notice less than 28 days before the event, cancellations are subject to full payment. The final balance will be immediately payable upon cancellation if it has not already been paid. If the cancellation occurs within 28 days of the date of the event, then the final payment is non-refundable.
On the exceedingly rare occasion Country Cake Lass needs to cancel an order due to exceptional circumstances beyond our control* we will provide as much notice as possible and any monies paid, including booking fees will be refunded to you.
*This excludes any conditions previously mentioned under delivery for circumstances beyond our control, these circumstances are not refundable.
Change of Wedding Date
Please let us know as soon as possible if you need to change your wedding date. Date changes are not guaranteed and are subject to availability. We advise you get more than one new date option from your venue and check with us for our availability before you confirm a new date with the venue to give us the best chance of being available.
If your new date is within 12 months from the day you request the change, we will honour your booking fee and transfer it to the new date.
If your new date is further ahead than 12 months from the day you request the change, a new booking fee of £100 will apply. The first booking fee is non-refundable or transferable as this will be classed as a cancellation and your new date a new booking as it is highly likely we will have turned down other work for your first date*.
If we are unavailable for your new date your booking fee is strictly non-refundable. This covers the work already completed for your booking. This may include but is not limited to consultations, completing, and sending forms, phone calls, emails, taster boxes etc and the highly likely case of us turning down other work for your original date.
If your date change is to a different year, it may be subject to additional charges in line with our yearly cost increases e.g., date change from 2023 to 2024.
We strongly advise you ensure you have wedding insurance that covers you in the event of cancellation/ change of wedding date that is out of your control.
*We will deduct the first booking fee off the final balance if we are able to subsequently fill the original date with a new booking.
Damage
We are not responsible for any damage to the cake once it has left our possession.
Portion Guide
All portion guides and advice are intended as a guide only. These will always vary depending on how the venue/ chef cut the cake.
Complaints
We take complaints very seriously. For any complaints we can only deal with the person who booked the cake originally.
In the very unlikely event, there is an issue with your cake, it must be brought to our attention within 48 hours of the cake being delivered so we can be given the opportunity to assess the nature of the problem.
If the complaint is in relation to the design of the cake, we cannot be held responsible for any errors not picked up by the customer if the cake has been made according to the booking form and sketch and this had been checked and approved.
If the complaint is regarding the quality of the cake, we may ask for the cake/ remainder of the cake to be returned to us within 48 hours of delivery for inspection.
You agree not to post any defamatory comments or photos on social media or online forums before discussing the issue with us and allowing us reasonable time to provide a satisfactory solution.
Once a reasonable solution has been reached, we may seek to take legal action against you if you post defamatory comments or photos on social media or online forums at any point in the future.
We will not be held responsible for any delays out of our control as previously mentioned in delivery and cancellations/ refunds e.g., Traffic conditions.

On the exceedingly rare occasion Country Cake Lass needs to cancel an order due to exceptional circumstances beyond our control* we will provide as much notice as possible and any monies paid, including booking fees will be refunded to you.
*This excludes any conditions previously mentioned under delivery for circumstances beyond our control, these circumstances are not refundable.
Change of Wedding Date
Please let us know as soon as possible if you need to change your wedding date. Date changes are not guaranteed and are subject to availability. We advise you get more than one new date option from your venue and check with us for our availability before you confirm a new date with the venue to give us the best chance of being available.
If your new date is within 12 months from the day you request the change, we will honour your booking fee and transfer it to the new date.
If your new date is further ahead than 12 months from the day you request the change, a new booking fee of £100 will apply. The first booking fee is non-refundable or transferable as this will be classed as a cancellation and your new date a new booking as it is highly likely we will have turned down other work for your first date*.
If we are unavailable for your new date your booking fee is strictly non-refundable. This covers the work already completed for your booking. This may include but is not limited to consultations, completing, and sending forms, phone calls, emails, taster boxes etc and the highly likely case of us turning down other work for your original date.
If your date change is to a different year, it may be subject to additional charges in line with our yearly cost increases e.g., date change from 2023 to 2024.
We strongly advise you ensure you have wedding insurance that covers you in the event of cancellation/ change of wedding date that is out of your control.
*We will deduct the first booking fee off the final balance if we are able to subsequently fill the original date with a new booking.
Damage
We are not responsible for any damage to the cake once it has left our possession.
Portion Guide
All portion guides and advice are intended as a guide only. These will always vary depending on how the venue/ chef cut the cake.
Complaints
We take complaints very seriously. For any complaints we can only deal with the person who booked the cake originally.
In the very unlikely event, there is an issue with your cake, it must be brought to our attention within 48 hours of the cake being delivered so we can be given the opportunity to assess the nature of the problem.
If the complaint is in relation to the design of the cake, we cannot be held responsible for any errors not picked up by the customer if the cake has been made according to the booking form and sketch and this had been checked and approved.
If the complaint is regarding the quality of the cake, we may ask for the cake/ remainder of the cake to be returned to us within 48 hours of delivery for inspection.
You agree not to post any defamatory comments or photos on social media or online forums before discussing the issue with us and allowing us reasonable time to provide a satisfactory solution.
Once a reasonable solution has been reached, we may seek to take legal action against you if you post defamatory comments or photos on social media or online forums at any point in the future.
We will not be held responsible for any delays out of our control as previously mentioned in delivery and cancellations/ refunds e.g., Traffic conditions.
